Item and Product Setup

Item Setup

To find a list of all items in the eStore, login and click on ADMIN. Next you will select MANAGE ADD-ONS, ESTORE and ITEMS. You will see a list of all items currently offered in the eStore. To edit an item, click the paper/pencil icon next to the item name, or click ADD to add a new item. Information stored on each item is detailed below.

DETAILS TAB

In the DETAILS TAB, you will include the name for your item and a full description of the item, which will be shown in the eStore. You can also specify PRODUCTS associated with this item. There may be multiple products for each item. The various products have different prices associated with them based on the ASM membership type. You can also specify the sort order for items displayed in a particular category.

CATALOG TAB

In the CATALOG TAB, you will specify the item number and check a box if the item is taxable or on the featured items list. You will also specify in which categories this item is shown. Items can be shown in multiple categories. In the CATEGORIES field click on the link "Open In New Window" to see a list of all categories where this item will be listed. You can then open the CATEGORY record for that item to edit it or click ADD to add a new category under which the specified item will appear.

FULFILLMENT TAB

In the FULFILLMENT TAB, you can enter copy for the thank you email that is specific for a particular item.

IMAGES TAB

In the IMAGES TAB you will upload a small image for the catalog page and a larger image to appear on the item details page.

PRESS TAB

In the PRESS TAB, you can enter information about the author of a book or journal.

SHIPPING TAB

In the SHIPPING TAB, you will enter the weight in pounds, which is used to calculate shipping costs. Enter 0 if there is no shipping required.

SUBSCRIPTION/RENEWAL TAB

In the SUBSCRIPTION/RENEWAL TAB, you will enter the name of the group that a user is added to when they purchase the item. Select NONE to disable this feature. You will also enter the number of days the purchaser will be a member of the specified group.

Click OK when you have saved all information.


Product Setup

To find a list of all products in the eStore, login and click on ADMIN. Next you will select MANAGE ADD-ONS, ESTORE and PRODUCTS. You will see a list of all products currently offered in the eStore. To edit a product, click the paper/pencil icon next to the product name, or click ADD to add a new product. There can be multiple products for each item, such as a list price product and a member price product for a particular journal. Information stored on each product is detailed below.

Product Name

Product Code

You will specify which item is associated with the product and the product price. You also select which member types are qualified to purchase the product. Additional fields which may be set to qualify for purchase of a specific product include membership in a group or location within a certain region.

You may also specify dates this product will be Available After and Valid Until.

If the product is a membership type, specify which membership type to set the user to.

You will also provide pop up copy if you automatically add additional items to the cart when a specific product is purchased.

Additional Items Link - Click on this if you want to provide a specific item along with the product when added to the shopping cart. You can specify which item to automatically add, if you want it to be added with no charge, and you can determine if it should be added to a drop down so that one item from a list of several can be selected when the item is automatically added to the shopping cart.

For example, for Premium Member Renewal, you will edit the product record and in the Additonal Items field click on the OPEN NEW WINDOW. Then click ADD NEW. You will see a screen with the product Premium Member Renewal already selected. You will select Clinical Microbiology Reviews in the Item field. You will click on ADD ITEM AS FREE and MANUAL SELECT. You will repeat the process for the item Microbiology and Molecular Biology Reviews. Click OK to save changes. This will allow a Premium Member to select of of these journals for free when they renew their membership.


Requirement: The Renew and Upgrade products are NOT available at the same time

To ensure that a member does not have access to the renew and upgrade features at the same time.

1. There is a field in PRODUCTS called MEMBERSHIP EXPIRATION YEAR.

2. For MEMBERSHIP PRODUCTS (JOIN, RENEW, UPGRADE), if the product's MEMBERSHIP EXPIRATION YEAR is NOT EQUAL TO a member's expiration year, the product is blocked.

3. For NON-MEMBERSHIP PRODUCTS (PRESS, JOURNALS and ONLINE), if the product's MEMBERSHIP EXPIRATION YEAR is GREATER THAN the member's expiration year, the product is blocked (if there is something entered in the Membership Expiration Year field for the product).

4. In addition, for any product, you can use the AVAILABLE AFTER and VALID UNTIL date fields to set when a product becomes available and when it is no longer valid.

Below is an example of how the MEMBERSHIP EXPIRATION YEAR field works, and how the date fields can be used.

Member A Expiration Date: 12/31/13

For 2014 Membership Year

RENEWAL PRODUCT
MEMBERSHIP EXPIRATION YEAR field year set to 2013
AVAILABLE AFTER field 9/1/2013
VALID UNTIL field 7/31/2014


UPGRADE PRODUCT
MEMBERSHIP EXPIRATION YEAR field year set to 2014
AVAILABLE AFTER field 9/1/2013
VALID UNTIL field 7/31/2014

On September 1, Member A will qualify for the RENEWAL PRODUCT for his membership type since his current membership expires on 12/31/2013, which matches the MEMBERSHIP EXPIRATION YEAR in the RENEWAL PRODUCT. He does NOT qualify to UPGRADE because his MEMBERSHIP EXPIRATION YEAR does NOT match the MEMBERSHIP EXPIRATION YEAR in the UPGRADE PRODUCT.

After he completes the renewal, Member A's membership expiration date changes to 12/31/2014. Now, he qualifies for the UPGRADE PRODUCT but not for the RENEWAL product.

Each year new products can be set up in advance for the upcoming membership year with the correct MEMBERSHIP EXPIRATION YEAR and AVAILABLE AFTER and VALID UNTIL fields set based on the ASM membership year. Also, testing can be done in advance of the September 1 beginning of the new membership year by setting up test members with the necessary membership expiration date to qualify for the new renewal and upgrade products.
